Privacy notice

How we plan to handle your information, enquiries and artist relationships.

Draft for review · 15 October 2026

This is a launch draft. Delivery providers, retention periods and the artist-portal arrangements still need confirmation. The contact form is not sending enquiries yet.

Who we are

SYNE MUSIC LTD is responsible for the personal information it uses to handle enquiries and manage its relationships with artists and business contacts. This notice is being prepared for the website and its contact service.

Planned privacy contact: contact@synedistribution.com. This mailbox is not live yet. For postal correspondence, write to SYNE MUSIC LTD, marked “Privacy”, at our registered office.

What you share

When the form is enabled, we will receive your name, email address, enquiry category and message. Depending on your request, this may include an artist or project name, music and profile links, organisation, licensing plans, budget, deadline or release and claim references.

We use these details to review demos, discuss services and licensing, respond to questions and investigate support requests. Making an initial enquiry is voluntary. Required fields let us understand and answer it; without a reply address or enough information, we may not be able to help. Optional fields can be left blank. Please do not send passwords, payment-card details or unnecessary sensitive information.

Artists and news

The roster and news feed may show artist names, photographs, release information, milestones and public profile links. These can be personal information where they identify someone. Material may come from artists or their representatives, or from public music and social profiles.

Our proposed legitimate interest is presenting SYNE’s activities and sharing relevant artist news. Publication permissions are a separate requirement. If information about you is inaccurate or you have a privacy concern about its publication, use the rights and complaints routes below.

Before final publication, confirm the source, permission and lawful basis for each item, how affected people receive privacy information, and when content should be reviewed or removed.

Why we use it

Our proposed basis for routine correspondence, demo review and business enquiries is legitimate interests: assessing opportunities, answering requests and supporting our artist relationships. Where you ask us to take steps towards a contract with you, or we need information to fulfil that contract, we rely on contract instead. A specific legal obligation may require us to retain or disclose particular records.

Before launch, SYNE will confirm these purposes and bases, including the balancing assessment for legitimate interests. Sending an enquiry will not subscribe you to marketing.

Who handles it

The planned enquiry workflow involves authorised SYNE staff and the providers used to host the site, deliver and store messages and protect the form against abuse. These categories cover website hosting and technical support, email and enquiry management, and security services. Professional legal or accounting advisers and public authorities may receive relevant records where necessary and lawful. An enquiry alone does not mean it will be sent to a distribution platform.

The actual providers, processing locations and any arrangements for transfers outside the UK are still to be confirmed. This notice must identify applicable transfer safeguards and how to obtain details before those services begin processing enquiries.

The artist portal

Artist login is intended to lead to the SYNE artist portal, supported by distribution-platform providers. It is separate from this public website.

The platform’s privacy information will explain its own processing. SYNE’s notice must also explain any portal information SYNE receives, accesses or uses for artist services. A separate website address does not remove SYNE’s responsibilities.

The portal privacy link, data shared, purposes and respective responsibilities are awaiting confirmation from the platform agreement. This draft does not yet describe the full portal processing or assign controller/processor roles.

How long we keep it

The proposed retention approach is to keep enquiries only while needed to assess and resolve them, complete relevant follow-up, and meet justified legal or contractual needs. A demo that does not lead to an ongoing discussion should not be kept indefinitely in case it becomes useful. Records relating to an active artist agreement may need a different retention period.

Specific review/deletion periods for demos, enquiries, support records, logs and backups need to be agreed with the selected providers before launch.

Your choices
and rights

Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your personal information. Where processing relies on consent, you can withdraw it without affecting earlier lawful use.

Right to object: you can object to processing based on legitimate interests because of your particular situation. You can always object to use of your data for direct marketing.

To exercise your rights, write to our registered office, marked “Privacy”, or use the privacy email once it is live. We may need proportionate information to verify your identity before releasing or changing records.

Privacy complaints

If you are unhappy with our handling of personal information, write to our registered office, marked “Privacy complaint”. Explain what happened and how we can contact you. The planned email address above will also accept complaints once it is live.

We must acknowledge a data protection complaint within 30 days, investigate it appropriately, keep you informed and communicate the outcome without undue delay. You can also raise a concern with the Information Commissioner’s Office, which provides guidance on when and how to escalate a complaint.

Website storage
and links

The public-site code does not use cookies or browser storage to remember the opening animation, and does not include advertising pixels or audience analytics. The live hosting setup and artist portal need a separate review. Hosting and security services may process technical information such as IP addresses, browser details, request times and pages requested; the live setup must be confirmed before this notice is finalised.

Music and social-media links take you to separate services with their own privacy information. They are links rather than embedded players in this preview.

Before launch, review the host’s logs, security tools and browser storage; document their purposes and lifetimes, and obtain consent or provide required controls where applicable. This draft does not assume that all browser storage is exempt.

Keeping this current

We will update this notice when the contact service, portal arrangements or use of information changes. The review date appears at the top of the page.
